What is a workflow?
A workflow is a series of automated actions that run based on predefined triggers and conditions.
Workflows help you automate repetitive tasks, engage audiences at the right time, and move contacts through your customer journey without manual effort.
Why should I use workflows?
Workflows allow you to automate common marketing and operational tasks, including:
- Sending emails and SMS messages
- Segmenting contacts
- Updating customer information
- Triggering actions in connected platforms
- Supporting lead nurturing and customer engagement
How do workflows work?
A workflow consists of three components:
1. A trigger that starts the workflow
2. Any conditions or logic that determine the path a contact should follow
3. One or more actions that are performed automatically
Once activated, workflows run automatically whenever the trigger conditions are met.
What actions can a workflow perform?
Workflows can automate a variety of activities, including:
- Sending email communications
- Sending SMS messages
- Adding or removing contacts from segments
- Updating contact information
- Triggering actions through connected integrations
- Passing data to external systems
Do workflows consume actions?
Yes. Actions are consumed when a workflow performs an activity, such as sending an email (one email sent = one action used), sending an SMS message (one SMS message sent = one action used), updating a contact (each contact that is updated consumes an action), or triggering an integration (establishing an integration = one action. An action is not used every time the integration is triggered).
Creating a workflow does not consume actions. Actions are only counted when workflow activities are executed.
How do I set up a workflow?
Creating a workflow allows you to automate actions based on specific customer behaviors and events.
To create a workflow:
- Navigate to the Workflows section within Drawbridge, under Automations.
- Click Create New.
- Select the trigger that will start the workflow.
- Configure the automation steps and actions you would like Drawbridge to perform.
- Review your workflow settings.
- Activate the workflow when you're ready to begin automation.
Once activated, the workflow will automatically run whenever the selected trigger conditions are met.
You can return to the Workflows section at any time to manage your workflows.
How can I tell if a workflow is active?
The Workflows section of Drawbridge displays the current status of each workflow, allowing you to quickly identify whether a workflow is active, paused, or requires attention.
Can I edit an active workflow?
Yes. Workflows can be updated as your campaign requirements change. Depending on the changes being made, updates may affect contacts currently moving through the workflow.
We recommend reviewing workflow settings carefully before modifying live automations.
What happens if a workflow relies on a disconnected service?
If a workflow depends on a connection that has been disconnected or is no longer authorized, workflow actions associated with that connection may fail or stop executing until the connection is restored.
What happens to workflows when I downgrade my subscription?
If your new plan does not support specific workflow features, actions, or connected services, Drawbridge will notify you before the downgrade takes effect.
Affected workflows may be paused or require updates before they can continue running.
Can I delete a workflow?
Yes. Workflows can be permanently removed if they are no longer needed. Before deleting a workflow, consider whether it is being used by active campaigns or customer journeys, as deleted workflows cannot be recovered.
